I like to create documents with distinct
styles for the headings, subheadings and
text, but when Iam working on a long
document, it takes up an appreciable
amount oftime to apply the same
formatting to all the headings and
subheadings. Isthere some trick to speed
up things? |
There are two ways you can do
this. One is to create template styles for
headings etc and save it in Normal.dot
and then assign keyboard shortcuts to
the frequently used styles. Then as you
work on a document, you can press the shortcut keys to apply different styles
to text.
Here's how you go about it:
To create or change a style,
- Click on 'Format | Style'
- Select the style you want to change
from the 'Styles' pane on the left. Click
the 'Modify' button.
- In the 'Modify Style' dialog box, click
on the 'Format' button at the bottom
and change styles for font, paragraph
etc according to your liking. Click 'OK'
to close all open dialog boxes.
Now to assign shortcut keys to
your styles,
- Click 'Tools | Customize'.
- In the 'Customize' dialog box, click on
the 'Commands'tab. Next, in the
same dialog box, click on the
'Keyboard' button at the bottom.
- In the 'Customize Keyboard' dialog,
scroll to 'Styles' in the 'Categories' list
at left. You will notice that the
description of the style selected in the
'Styles' list, is displayed at the bottom
ofthe dialog box. And the shortcut
key associated with that style is
displayed in the 'Current Keys' field.
- If there is no shortcut assigned, you
can set one yourself: place the cursor
in the 'Press new shortcut key'field
and press the key combination you
want to assign to that style. For
instance, we press [cm] + [ALT] + [8]for
Body Text.
- Then click 'Apply', and close all open
dialog boxes.
The second method is easier still: use
the Format Painter. That's the brush
shaped icon in the toolbar. All you need
to do is, select the text with the correct formatting, click on the Format Painter,
and then select the
text you want to apply
the format to.
If along with the
font and font effects,
you also want to copy
alignment, indentation, etc, then
make sure to also
select the paragraph mark that follows the text.
If you want to apply the format to
several items, then select the text with
the correct formatting and then double-clickon
the Format Painter.With this the
Format Painter will remain activated as
you apply the format to different
elements. Onceyou are done, press [ESC]
to deactivate the tool.
